Job Title: Roving Secretary (Administrative Assistant)

Duties: The incumbent will report to various sections throughout the Embassy, providing intermittent administrative assistance as needed. Duties include:
- Drafting correspondence, diplomatic notes, and demarches
- Typing reports and cables
- Preparing briefing books and talking points
- Answering telephones and screening calls
- Taking accurate messages
- Meeting and escorting visitors and work crews
- Sorting and distributing mail
- Organizing and maintaining paper and electronic filing systems
- Scheduling and taking notes at meetings
- Scheduling appointments
- Performing other administrative support functions
The incumbent will work under the supervision and direction of Section Chiefs and indirectly report to the Supervisory Human Resources Officer (S/HRO).
Requirements:
Experience:
- Two years’ experience in administrative and clerical office roles is required.
Job Knowledge:
- A broad knowledge of the Embassy and its various Agencies.
- Understanding of agency correspondence and other applicable office procedures.
- Ability to respond to VIP visitors and the Front Office regarding the area.
- Confidentiality is imperative.
- Ability to interact with VIP visitors and the Front Office.
Education Requirements:
- A High School Diploma is required.
Evaluations:
Language Proficiency:
- English Level IV (Fluent) Speaking/Reading/Writing is required.
Skills and Abilities:
- Attention to detail and accuracy.
- Proficiency in Microsoft Suite (PowerPoint, Excel, Outlook) and in-house applications such as MyData and MyServices.
- Ability to prioritize and organize tasks effectively.
- Excellent interpersonal and customer service skills to develop cooperative working relationships.
- Flexibility to work different hours and in different sections at short notice.
- Requires a SECRET security clearance.
