How to Replace a Lost KCPE or KCSE Certificate in Kenya
Process for replacing a lost KCPE or KCSE certificate in Kenya:
Two Options
- In-Person at KNEC Offices
- Online Application
In-Person at KNEC Offices
- Visit KNEC Offices: Head to the Kenya National Examinations Council (KNEC) headquarters in Nairobi (Dennis Pritt Road, Kilimani) or your nearest regional office.
- Bring Identification: Present your original National ID card or passport for verification.
- Fill Out Application Form: Obtain and complete an application form for lost certificate replacement, either from the KNEC office or downloaded from their website (https://www.knec.ac.ke/).
- Attach Supporting Documents: Include the following documents with your application:
- Police abstract report proving the lost certificate.
- Sworn affidavit explaining the circumstances of the loss and promising not to misuse the certificate if found.
- Pay the Required Fee: The current fee can be confirmed directly with KNEC (https://www.knec.ac.ke/). Make the payment at the KNEC office or through designated bank accounts.
- Processing Time: Allow time for KNEC to process your request. Follow up after a reasonable period.
- Collect Replacement Certificate: KNEC will notify you once your replacement certificate is ready for collection. Bring your ID to pick it up.
- Verify Accuracy: Double-check the information on the replacement certificate before leaving the KNEC office. Report any errors immediately.
Online Application
- KNEC Query Management Information System (QMIS): Applications are submitted through the QMIS online portal (https://qmis.knec.ac.ke/).
- Login or Create Account: If you have an existing account, log in using your username and password. Otherwise, create a new account following the on-screen instructions.
- Required Documents: Prepare scanned copies of the following documents:
- Lost certificate or result slip (copy)
- Legal affidavit from a Kenyan High Court advocate
- Confirmation of applicant’s identification from the Registrar of Persons (county civil registrar)
- Original police abstract indicating the lost certificate
- Photocopies of your ID (or birth certificate for minors with parent/guardian’s ID copy)
- Passport-sized color photo
- Application Process:
- Log in to QMIS and navigate to the “Lost Certificate” section.
- Enter your exam details (index number, exam, year, series).
- Attach the scanned documents.
- Submit the application.
- Payment: KNEC will verify your documents and send a unique Pay Bill and Account number via SMS for a fee of Ksh 5,220 (inclusive of VAT). Pay using M-Pesa.
- Processing Time: The duplicate certificate is processed within 15 working days.
- Application Rejection: Reasons for rejection include discrepancies in provided information or incomplete applications. You can reapply after correcting any issues.
- Collecting Your Certificate: KNEC will contact you via your registered email with instructions for collecting your certificate at their offices upon completion. Bring a valid ID (or birth certificate for minors with a parent/guardian’s ID).
- Application Status Check: You can track your application status by logging into the QMIS portal.
- Uncollected Certificates: Certificates not collected within two years from application will be disposed of without refund.
